The Sr. Administrative Associate for the Network for Teaching Entrepreneurship reports to the VP, Talent & Administration with a dotted line to the Chief Executive Officer (CEO). The role provides administrative and analytical support both the VP, Talent & Administration and the CEO. The position is responsible for all front office activities (reception desk), headquarters administrative support needs office and communications. The ideal candidate should have an interest in mission driven organizations and education and have a high energy approach to his/her work. Must be reliable, punctual, organized with the ability to multitask in a busy office. Able to maintain confidentiality related to HR and CEO matters and information.
Responsible for full administration of NYC Head Quarters administrative activities, including reception desk, break room and all related office area support needs
Manage and drive a complex calendar and task list for CEO
Design/manage projects on behalf of CEO, including Board of Director presentations
Prepare and distribute executive team meeting agendas and materials
Prepare expense reports and invoices in a timely manner
Create documents, memos, presentations as needed ; Organize/maintain files
Work with all headquarters staff on executing priorities in a professional, timely manner
Coordinate/schedule meetings, travel arrangements and all conference rooms calendars
NYC Headquarters administrative support: order supplies, liaison with building maintenance/facilities, communication, enter guests into Work speed security system,
Organize/prioritize incoming and outgoing communications, including mail, phone calls, reports, scan and send documents/send and receive e-faxes, etc.
Sign for packages and schedule Messenger and/or UPS pick up; Open and distribute mail
Order and Refill kitchen supplies (coffee, cups, sugar, etc.)
Answer/transfer calls and meet/greet al NFTE guests
Manage reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
Oversee and ensure that the WQ facility is well maintained and kept clean
Serve as point person for organizing all large mailings
Manage the relationships with key office vendors, such as the office landlord, phone services, HVAC servicer, Window washer, etc.
Assists in the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
Update various spreadsheet sheets and other general administrative duties as needed
Partner with Talent Management team on New Hire Orientations (NEO) schedules, candidate interviews and other administrative HR support as needed.
Perform other tasks as directed by the VP Talent & Administration and CEO
